Compare the full reroof plan, not one total at the bottom

Normalize Roof Replacement Bids Before Comparing Price

Build a side-by-side review of removal, assembly, details, and closeout.

Make every bidder price the same map

Start with a roof map that labels each plane, low-slope area, attached cover, wall transition, penetration group, drainage point, and rooftop equipment zone. Ask bidders to mark included and excluded areas. A total labeled “whole roof” can still omit an attached section or price it as an alternate.

Give each bidder the same known documents and access information. Record which areas were physically observed and which were estimated from limited access. This makes assumptions visible before numbers are compared.

Break the work into comparable rows

Create rows for tear-off, disposal, substrate evaluation, deck repair process, new roof assembly, edges, walls, valleys, penetrations, drainage, ventilation where applicable, equipment coordination, site protection, and closeout. Enter “not stated” instead of guessing when a proposal is silent.

For materials, record the named system components and approved substitutions rather than comparing a marketing label alone. Ask which accessories are part of the listed assembly and which will be selected later.

Normalize unknowns and handoff

Decking and other concealed conditions can change a replacement project. Compare how each bidder measures, photographs, prices, and requests approval for additional work. An allowance, unit price, and excluded unknown are different financial structures. Label them correctly.

Finally compare schedule assumptions, weather protection, access, cleanup, inspections included in the contract, and delivered records. Keep clarifications as dated written revisions tied to the original bid. The strongest comparison explains what physical result each price buys and how uncertainty will be managed.

  • Are all roof areas priced?
  • Are removal assumptions the same?
  • How are concealed conditions valued?
  • What closeout records are included?

Review the contract path

Confirm that the final proposal identifies the contracting party, payment structure, selected options, and documents included by reference. Verify contractor information through official sources. Keep license and contract review alongside, but distinct from, the physical scope comparison.

Before signing, reconcile every written clarification into one current version. A favorable email answer that never reaches the contract can leave the field crew with a different plan from the owner’s comparison sheet. Mark rejected alternates clearly so they do not return as assumed work.
